This Refund and Cancellation Policy governs the circumstances and process under which users or merchants of PAYOTRIX may request refunds or cancellations of paid services. Please read this policy carefully, as by subscribing to or using our platform, you agree to abide by all clauses mentioned below.

General Policy on Refunds

PAYOTRIX operates on a strict no-refund policy for all services, including subscriptions, access fees, integrations, premium modules, or add-ons—whether billed monthly, quarterly, or annually.

Refunds are only considered in rare and exceptional circumstances, which must meet strict eligibility conditions and undergo internal evaluation.

Special Refund Cases (Exceptions)

While refunds are generally not issued, exceptions may be made in the following limited and verified cases:

  • Accidental duplicate payments made within the same billing cycle

  • Accidental upgrades or purchases within 1 hour of the transaction

  • Technical errors in platform billing systems (proof required)

  • Unintended subscription charges due to dashboard/system glitches

Each request is manually reviewed and approved at the sole discretion of PAYOTRIX management. Refunds under these conditions are not guaranteed.

Eligibility Criteria for Refunds

To be eligible for a refund under any of the special cases:

  • The request must be made within 24 hours of the transaction

  • The user must provide the official invoice ID or transaction reference number

  • The service should not have been used, accessed, or benefited from

  • No third-party gateway integrations or configurations should have been triggered

  • A written justification must be submitted to support@payotrix.com

Failure to meet any of these conditions will result in rejection.

Ineligible Scenarios for Refund

No refund will be issued in the following cases:

  • Change of mind after purchasing a subscription

  • Business shutdown or change in use case

  • Refunds requested after KYC verification is completed

  • Misunderstanding of platform features or capabilities

  • Subscription is unused but active for more than 24 hours

  • Platform downtime caused by third-party gateway outages

  • User error, misconfiguration, or improper setup

  • Payment gateway API credentials were entered incorrectly

These do not qualify for a refund under any condition.

Refunds for Free Services

Free services such as:

  • Sandbox environments

  • Basic analytics dashboard

  • API testing accounts
    …are not eligible for refunds as no monetary consideration is involved.

If a user experiences issues with free features, they may request support but not compensation or credit.

Subscription Auto-Renewal Clause

All PAYOTRIX paid plans may be set to auto-renew by default unless disabled by the user. It is the user's responsibility to:

  • Cancel or downgrade the plan before the renewal date

  • Remove or update payment details before auto-renewal

  • Review plan expiration dates regularly

Refunds will not be issued for failure to cancel in time.

Payment Gateway Fees Are Non-Refundable

Any third-party payment processing fees charged by Razorpay, Stripe, Cashfree, or other payment aggregators during service payments to PAYOTRIX are non-refundable, even in case of refunds.

Refunds, if approved, will exclude gateway/processing charges.

Refund Timeframe

If a refund is approved:

  • It will be processed within 7–14 business days

  • Refund will be made via the original payment method only

  • No refund will be processed via cash, UPI, or alternate wallets

Delays may occur due to intermediary bank processing times, especially in the case of international transactions.

Cancellation of Services by Users

Users may cancel their PAYOTRIX plan at any time by:

  • Logging into the dashboard and initiating a cancellation request

  • Sending an email to support@payotrix.com from their registered ID

However, cancellation does not imply a refund. Services will remain accessible until the end of the billing period, after which access is revoked.

Cancellation by PAYOTRIX (Platform-Initiated)

PAYOTRIX reserves the right to cancel any subscription or service:

  • If a user or merchant violates platform policies

  • If illegal, fraudulent, or suspicious activities are detected

  • If misuse or abuse of redirection services is found

  • If chargebacks or complaints are filed by payment gateways

In such cases, no refund will be issued, and the account may be permanently deactivated.

One-Time Setup or Customization Fees

Any payments made toward:

  • One-time API integration

  • Custom domain setup

  • Dashboard branding

  • Manual configurations

…are non-refundable under all conditions, even if service is terminated early or left unused.

Pricing Errors and Billing Disputes

If a pricing or billing error is identified:

  • Users must notify PAYOTRIX within 48 hours

  • PAYOTRIX will investigate the error

  • If verified, overcharged amounts (minus gateway fees) may be refunded

Users waive the right to dispute charges older than 7 days.

Third-Party Bundle Services

Services purchased as a bundle, in collaboration with third-party providers (e.g., hosting or DNS providers), are subject to the refund policy of those providers. PAYOTRIX does not mediate such refunds.

Only the portion of the payment directly made to PAYOTRIX (if any) may be evaluated for a refund.

Refunds and Account History

Users with a history of:

  • Policy violations

  • Abusive behavior

  • High refund/chargeback frequency

  • Multiple accounts for abuse

…may be permanently disqualified from receiving any refunds, even in eligible cases.

Force Majeure and Refund Limitation

In the event of natural disasters, war, legal restrictions, or internet blackouts (force majeure), services may be interrupted. No refunds or credits will be issued for such disruption beyond PAYOTRIX’s control.

Refund Fraud and Abuse

Submitting fake refund requests, forged receipts, or multiple refund requests across fake accounts will lead to:

  • Immediate permanent ban from PAYOTRIX

  • Reporting to law enforcement

  • Legal action and penalties

PAYOTRIX takes refund fraud seriously and maintains logs of all transaction metadata.

No Partial or Pro-Rated Refunds

If you cancel a subscription mid-billing cycle, no pro-rated or partial refund will be issued for the unused period. Access will continue until the end of the term unless the account is suspended due to a violation.

Paid Feature Access After Cancellation

Users cancelling subscriptions will:

  • Retain access to paid features until the end of the billing period

  • Lose access after expiration

  • Have configurations and settings archived for up to 15 days (non-refundable)

After the 15-day window, all data will be permanently deleted.

Refund Currency and FX Handling

If you paid in a foreign currency:

  • Refunds will be issued in the original payment currency

  • PAYOTRIX is not responsible for currency conversion loss

  • The refunded amount may vary due to real-time FX rates

Refunds will be made in INR only if originally paid in INR.

GST or Tax Refunds

Any tax, GST, or surcharge paid to PAYOTRIX is non-refundable, unless:

  • A pricing error occurred on PAYOTRIX’s end

  • The refund is mandated by law or government directive

Refund of GST will not be provided on account of non-usage.

Refunds After Platform Updates or Feature Removal

PAYOTRIX may occasionally:

  • Modify services

  • Remove non-critical features

  • Change plans and pricing

Such changes do not qualify users for refunds. You may choose to cancel before the next billing period.

Dispute Resolution for Refund Claims

In case of disagreement about a refund decision:

  • Users may file a grievance at support@payotrix.com

  • Cases will be reviewed by PAYOTRIX's Legal/Compliance Team

  • The decision of PAYOTRIX’s internal committee shall be final

Users must accept the platform’s resolution unless challenged legally.

  • Consumer Protection Act, 2019 (as applicable to digital services)

  • International SaaS billing standards

The policy is crafted for commercial use and may differ from consumer product policies.

PAYOTRIX reserves the right to change this Refund & Cancellation Policy at any time without prior notice. Changes may be made due to:

  • Platform upgrades

  • Regulatory compliance

  • Pricing model adjustments

  • Feature modifications
